Privacy Policy
Effective November 3, 2026
Dugout Funds (dugoutfunds.com) helps youth sports teams raise money. Coaches set up fundraisers, parents share donation links with family and friends, and supporters donate by card. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- Coaches and parents (account holders): name, email address, mobile number, and a password (stored securely by our login provider; we never see it).
- Players: a parent enters their player's first name, last initial, and jersey number. We do not collect a player's age, photo, contact details, or any other information about them.
- Supporters: a parent may add up to 20 supporters (name and mobile number) so the parent can send them a text from the parent's own phone.
- Donors: the amount, date, and the name and email entered at checkout. Card details are entered on Stripe's secure page and are never sent to or stored by us.
- Team information: team name, fundraiser description, goal, and an optional team photo uploaded by the coach. This appears on public donation pages.
- Basic technical data: a login cookie to keep you signed in, and standard server logs (such as IP address and pages requested) kept by our hosting provider for security. We do not use advertising cookies or cross-site tracking.
How we use it
- To run fundraisers: show donation pages, process donations, and credit gifts to the right player and team.
- To send parents fundraiser reminders by email (and by text message only if they provided a mobile number for that purpose; reply STOP to opt out).
- To show coaches their own team's totals, and to calculate and pay out each team's share.
- To send receipts (sent by Stripe) and account emails such as password resets.
- To keep the service secure and to meet legal, tax, and accounting obligations.
Supporters' phone numbers
We never text supporters ourselves and never use their numbers for marketing. Numbers are visible only to the parent who added them. When a parent taps “Text,” their own phone opens a message they choose whether to send. If you received a message and want your number removed, email us at info@aquasoxbaseball.com.
Who can see what
- Public donation pages show the team name, fundraiser details, team photo, and a player's first name, last initial, and jersey number. They do not show donor names or individual gift amounts.
- Coaches see their own team's players, parent names, donation totals, and how many supporters each family has texted. They do not see supporters' names or numbers, or donors' email addresses.
- The site administrator can see all records in order to run the service and pay teams.
Service providers we share with
We do not sell or rent personal information. We share it only with companies that run parts of the service for us, under their own privacy and security terms:
- Stripe — card payments, receipts, and payouts
- Supabase — accounts, database, and photo storage
- Vercel — website hosting
- Resend — reminder and account emails
- Twilio — reminder text messages to parents, if enabled
We may also disclose information if required by law or to protect the safety of our users.
Children
Accounts are for adults only. Players do not create accounts, and we do not knowingly collect personal information directly from children under 13. A parent or guardian provides their player's first name, last initial, and jersey number and can change or remove it at any time. If you believe a child has given us information, contact us and we will delete it.
How long we keep it
We keep account, player, and supporter information while the account is active. Donation records are kept for as long as needed for tax and accounting purposes (generally up to seven years), even if an account is deleted.
Your choices
- Parents can edit their player and remove supporters at any time from “My players.”
- You can ask us to see, correct, or delete your information by emailing info@aquasoxbaseball.com. We'll respond within 30 days.
- Unsubscribe from text reminders by replying STOP; email reminders end when the fundraiser ends or on request.
Security
Data is encrypted in transit, access to records is limited to the people described above, and card data never touches our systems. No system is perfectly secure, but we work to protect your information.
Donations
Dugout Funds keeps 10% of each donation to cover card processing and running the service; the team receives the remaining 90%. Unless a specific fundraiser states otherwise, donations are not tax-deductible charitable contributions.
Changes
If we change this policy, we'll update the effective date above and, for significant changes, notify account holders by email.
